The format rules

Europass CV format — every rule the EU enforces

Dates. Addresses. Phone numbers. CEFR. The Europass standard is precise — and EU portals reject submissions that don't match. Here's the cheat sheet.

Rule 01

Dates: DD/MM/YYYY (or ISO 8601 in the XML)

Europass uses European date conventions on display, and ISO 8601 in the underlying XML. Mixing them up is the #1 cause of XML import failures.

✓ Correct
  • 14/03/1991 (display)
  • 1991-03-14 (XML)
  • 09/2020 – present
  • 2018-09 / 2022-06 (XML date range)
✗ Will fail validation
  • 03/14/1991 (US format)
  • March 14 1991 (text)
  • Sept 2020 – now
  • 2020-now (mixed)
Rule 02

Addresses: structured, not free-text

The Europass XML schema breaks every address into discrete fields. Recruiters across the EU then filter candidates by city, region, or country with one click.

Address structure (Europass XML)
addressLine
Via Roma 42, Apt 7

postalCode
00185
country (ISO-3166)
IT — Italy
Rule 03

Phone numbers: international format only

E.164 — country code, area code, local number. Spaces are fine. Anything else fails recruiter dialler integrations.

✓ Correct
+39 333 1234567 +49 30 12345678
✗ Wrong
333-1234567 (030) 12345678
Rule 04

CEFR: 6 levels × 5 skills per language

The Common European Framework of Reference for Languages. Six bands from A1 (beginner) to C2 (mastery). And five separate skills per language — the source of most candidate confusion.

Level What it means Real-world equivalent
A1Can understand and use basic phrases for survival~80h study, brand-new beginner
A2Can deal with simple, routine exchanges~180h study, holiday traveller
B1Independent user — clear, standard input~350h, IELTS ~5.0, can live abroad
B2Effective independence — abstract topics~600h, IELTS ~6.0, work in the language
C1Proficient — flexible & nuanced use~800h, IELTS ~7.5, university lectures
C2Mastery — near-native subtlety~1200h+, literary mastery, rare

Be honest. Recruiters in the EU verify CEFR claims by talking to you in the language for 30 seconds — over-rating yourself is the fastest way to get rejected.

Rule 05

Page format: A4, 2 pages max

A4 (210 × 297 mm). 1 cm margins. The Europass guideline is "no more than 2 pages, unless your career genuinely demands more." Three is acceptable for senior academics or 20-year careers — never four.
